Summary
This project documents live production workflows around ProPresenter, Planning Center, livestream graphics, and volunteer operation. The main goal is to make the system reliable during services while keeping the operator path simple.
Problem
Presentation systems carry a lot of responsibility in live environments. Lyrics, slides, lower thirds, stage displays, stream outputs, and last-minute edits all need to land cleanly. If the workflow is confusing, the technical team spends the event fighting the system instead of supporting the room.
Constraints
- Volunteers need clear steps and forgiving workflows
- Content often changes close to service time
- Outputs may serve different destinations with different needs
- Livestream graphics and in-room screens should not be treated as the same product
- The workflow must be supportable by a small team
Approach
I build these workflows around repeatable preparation, clear output mapping, and simple recovery steps. Planning Center integration supports service planning, ProPresenter handles presentation and graphics outputs, and routing decisions are documented so volunteers understand what each screen or stream destination should receive.

Outcome

Lessons Learned
The best live workflow is not the cleverest one. It is the one a trained volunteer can run calmly while the room is full. Future improvements would include more standardized pre-service checks and clearer visual documentation for output paths.
